Office manager

Permanent full-time position, 35 hours a week, in Montreal. Applications until Monday, November 9, 2026, reviewed as they come in.

About Quebec Life Coalition

Founded in 1989, Campagne Québec-Vie (CQV) is a Christian-inspired non-profit organization that defends human life, from conception to natural death, and the family. Its English-language arm, Quebec Life Coalition (QLC), reaches the English-speaking public.

CQV informs the public through its news site (cqv.qc.ca), its email newsletters, its printed bulletin Culture de vie and social media. It mobilizes thousands of people across Quebec, notably for Life Chain, 40 Days for Life and the March for Life, and speaks to elected officials on euthanasia, abortion and parental rights. It also offers a listening and support line for women facing a difficult pregnancy, Pregnant and Worried.

CQV works in association with Campaign Life Coalition (CLC), the national pro-life organization. Its team works out of its Montreal office.

Purpose of the position. The office manager makes sure the office, day-to-day administration and donor service run smoothly, so that the president and the team can focus on the mission. The office manager takes over most of the predecessor's work, except bookkeeping and payroll, which are handled externally. The office manager pays the bills, keeps the petty cash and prepares, each month and with the bookkeeper, the financial report for Campaign Life Coalition (CLC), the national organization with which CQV works in association. The position also includes new tasks, set out in section 8 of the responsibilities.

Responsibilities

The list below describes the core of the work. It is not exhaustive (see "Team spirit and flexibility").

1. Office and reception

1.1Open the office and keep it clean, tidy and stocked (supplies, paper, cleaning products, paper towels, coffee and snacks), with the help of volunteers.

1.2Welcome visitors. Answer the phone, the voicemail and the general email inbox, and pass messages on to the right person.

1.3Receive and process the mail and the post office box. Prepare mailings, with the help of volunteers as needed.

1.4Provide secretarial support: correspondence, filing of paper and digital documents (SharePoint), routine documents.

1.5Look after the premises: small repairs, light bulbs, dealings with the landlord and service providers.

2. Administration and day-to-day finances

2.1Receive and check supplier invoices, including those related to the bulletin, have them approved by the president, pay them and file them.

2.2Keep the petty cash and reconcile it.

2.3Send supporting documents to the bookkeeper, who works externally.

2.4Check the online donation platforms (PayPal, Authorize.net, Square) and bank transfers every day to confirm donations have been received, and report any irregularity.

2.5Identify monthly donors whose credit cards are about to expire and contact those donors.

2.6Prepare each month, with the bookkeeper, the expense report for CLC, as well as the team's expense reimbursements.

2.7Handle renewals: insurance, subscriptions, software licences, service contracts, storage.

2.8Order supplies and equipment, within budget.

3. Donors and customer service

3.1Answer calls, emails and letters from donors and the public, and follow up on them.

3.2Send thank-yous to donors according to the president's instructions.

3.3Keep the donor database in NationBuilder up to date: addresses, returned mail, duplicates, deaths, communication preferences.

3.4Call donors back at the president's request, for example about a problem with a monthly gift.

3.5Work with the outreach representative on requests involving supporters and volunteers.

4. Online store

4.1Process, pack and ship orders.

4.2Keep track of inventory and handle returns.

5. Supervision

5.1Supervise the volunteers and part-time secretarial staff who work at the office.

5.2Plan their tasks, and welcome and train new volunteers.

6. Governance and support to the president

6.1Organize board meetings and the annual general meeting: notices, documents, minutes, registers.

6.2Prepare the agenda for the weekly team meeting and write up its minutes.

6.3Follow up on the president's administrative files and keep track of deadlines.

6.4Provide the figures and information requested for CQV and CLC reports.

6.5Keep track of and file archival documents.

7. Events and campaigns

7.1Manage registrations, room bookings and equipment (signs, banners, tables) for CQV events and campaigns.

7.2Lend a hand on site at some events, for example the March for Life in Quebec City, the corn roast, Life Chain and conferences.

8. New tasks set at hiring

Depending on the experience of the person hired and CQV's needs, the president may assign other responsibilities at hiring or during employment, for example:

8.1Simple email sends and small website updates in NationBuilder.

8.2Layout of documents, posters or flyers.

8.3Keeping lists and tracking sheets (volunteers, parishes or churches, equipment, deadlines).

8.4Support for the computer tools CQV puts in place.

Team spirit and flexibility: a condition of employment

CQV is a close-knit team where everyone pitches in. For this position, flexibility is not an asset: it is a condition of employment.

The office manager agrees to willingly carry out any other reasonable task the president assigns according to the organization's needs. This includes, in particular:

  • maintenance, handling, storage or mailing tasks;
  • filling in for an absent or overloaded colleague;
  • a change of priorities from one day to the next, when the news or a campaign calls for it;
  • giving a hand to colleagues and to CQV's partners.

The president may change the division of tasks and priorities during employment. The fact that a task does not appear in this description is not a reason to refuse it. At CQV, answering "that's not in my job description" is not acceptable.

We also expect the person to work in harmony with the team, to ask for help when needed and to offer it without waiting to be asked.

Profile sought
  • Share the Christian faith and CQV's convictions: the defence of faith, family and life, from conception to natural death.
  • At least two years of experience in office management, secretarial work or administration, and basic knowledge of bookkeeping (invoices, petty cash, expense reports). Knowledge of the Sage 50 accounting software is an asset.
  • Excellent French, written and spoken. Functional English, since some exchanges with CLC and with donors take place in English.
  • At ease with Microsoft 365 (Outlook, Word, Excel, SharePoint). Experience with NationBuilder or similar contact-management software is an asset.
  • Thoroughness, organization, autonomy and reliability.
  • Discretion: the position gives access to donors' personal information and to the organization's finances.
  • Team spirit, good humour and people skills, on the phone and at the front desk.
  • Comfortable with light physical work: boxes, mailings, storage.
  • Available occasionally in the evening or on weekends, for events and board meetings.

Since CQV is an organization of a religious and political nature, commitment to its mission and convictions is a requirement of the position. In carrying out their duties and in their public statements, including on social media, the person acts in a manner consistent with this mission. They speak to the media on behalf of CQV only with the president's approval.

Working conditions
  • Hours. The normal week is 35 hours, Monday to Friday, at the Rivier Street office. The day starts no later than 9:30 a.m. and ends at 5 p.m., with a 60-minute lunch, 30 minutes paid and 30 minutes unpaid, and two paid 15-minute breaks. Hours worked in the evening or on weekends for an event or a board meeting are compensated with time off, by agreement with the president.
  • Pay. Based on experience, paid by direct deposit every week. Expenses incurred in the course of duties and approved in advance are reimbursed on presentation of receipts.
  • Probation. The first three months are a probation period, followed by an evaluation.
  • Vacation and leave. Vacation, statutory holidays and family or sick leave according to Quebec's Act respecting labour standards. Vacation dates are set with the president, taking CQV's campaigns and events into account.
  • Confidentiality. The person keeps the personal information of donors, volunteers and the public confidential, during and after employment, and follows the privacy rules in force in Quebec. The files, accounts and documents of the position belong to CQV.
  • Prerequisites. Hiring is conditional on satisfactory reference and criminal background checks, since the position involves handling funds and access to donor data, and on proof of the right to work in Canada.
